On PlayPlay, your colleagues are organized into teams, and each user has a role that defines what they can do: watch videos, create them, or manage the team settings.
💡 This article gives you an overview of how teams and roles work, how to invite new users, and how to keep control over what gets created and published.

A team is a workspace shared by several users. Everyone in the team shares the same brand guidelines, the same media library and the same templates, so every video comes out with the same visual identity.
Your company can have several teams (for example one per brand, per subsidiary or per country) and a user can belong to more than one, switching from one team to another from their account. To create or reorganize your teams, contact your Customer Success Manager (CSM). To go further, read how a team works on PlayPlay.

There are three roles on PlayPlay. Each user has one role per team, and an Owner can change it at any time.

Owners can add a new user to the team at any time from the team settings. You invite them by email, choose their role, and they receive an invitation to create their account.
If your company uses Single Sign-On (SSO), your users log in with your company's own authentication method instead of a PlayPlay password.
You don't need to invite everyone: colleagues without a PlayPlay account can still view, share or download your videos through a share link, and you can collect media from them from their computer (via a collection link) or phone (via a QR code) without losing quality.

Two features help you keep an eye on your team's videos before they go out:
-
Activate the approval process: every video must be approved by an Owner before it can be downloaded or published.
-
Reviewers can leave timestamped comments directly on the share link, so feedback stays attached to the right moment of the video.
As an Owner, you can also find and edit the videos of your team members, for example to correct a detail or adapt a video to another language.
-

By default, videos are visible to the whole team. If you're working on a sensitive or unfinished project, you can keep it as a private video: only you can open it, even if other users are Owners.
For any additional questions, contact your Account Manager or customer support via chat.
A user can have a different role in each team. Someone can be Creator in one team and Contributor in another.
Only Owners access the team settings, which include the brand guidelines, the user list and the approval process.
Changing a role takes effect immediately, with no need for the user to log in again.
Your CSM handles team creation, as well as the number of users included in your subscription.
